Your privacy matters to us. This policy describes what data Warden collects, how we use it, and the control you have over it.
1.Overview
This Privacy Policy explains what information the Warden bot and dashboard ("Warden", "we", "us") collect, how we use it, and the choices you have. We only collect the data necessary to provide our features and to operate the service.
2.Information We Collect
Depending on the features you use, we may collect and store:
- Discord identifiers: user IDs, server (guild) IDs, role and channel IDs, and usernames used to operate bot features and the dashboard.
- Authentication data: when you log into the dashboard or verify, we use Discord OAuth (and optionally Roblox OAuth). We store session tokens and the minimal profile fields needed (such as your Discord ID, username, avatar, and the servers you manage).
- Roblox account links: if you verify, we store the link between your Discord account and your Roblox account (Roblox ID and username).
- Server configuration: the settings you configure for each module, plus data those modules generate — such as infractions, applications, shift records, activity notices, ban appeals, moderation actions, and feedback.
- ER:LC API keys: stored in encrypted form and used only to power the ER:LC features you enable.
- Audit logs: a record of configuration changes made through the dashboard, including who made them and when.
3.How We Use Information
We use the information we collect to:
- Provide, operate, and maintain Warden's features.
- Authenticate you and authorize access to servers you manage.
- Store and apply your server's configuration and module data.
- Communicate with the Discord, Roblox, and ER:LC APIs as needed to deliver functionality.
- Diagnose problems, prevent abuse, and improve the reliability of the service.
We do not sell your personal data, and we do not use it for advertising.
4.Data Sharing
We share data only as necessary to operate the service, including with infrastructure and processing providers (for example, database and hosting providers) and payment processors for Warden+ subscriptions. These providers process data on our behalf.
We may disclose information if required by law or to protect the rights, safety, and security of our users and the service.
5.Data Retention
We retain data for as long as it is needed to provide the service. Server configuration and module data are retained while Warden is in your server. When the bot is removed, or upon a valid deletion request, associated data may be deleted. Some records may be retained for a limited period where required for security, dispute resolution, or legal compliance.
6.Data Security
We take reasonable technical and organizational measures to protect your data, including encrypting sensitive credentials such as ER:LC API keys. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7.Your Choices & Rights
You can:
- Remove Warden from your server at any time to stop further data collection for that server.
- Unlink your Roblox account (unverify) or unlink an ER:LC API key through the bot or dashboard.
- Request access to or deletion of your data by contacting us through our support server. We may need to verify your identity or authority over a server before acting on a request.
8.Children's Privacy
Warden is not directed to children under 13, or under the minimum age required to use Discord in your country. We do not knowingly collect data from such users. If you believe a child has provided us data, contact us so we can remove it.
9.Third-Party Services
Warden integrates with Discord, Roblox, and the ER:LC / PRC API. Your use of those platforms is governed by their own privacy policies. We are not responsible for the practices of third-party services.
10.Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date above reflects the latest revision. Continued use of Warden after changes take effect constitutes acceptance of the updated policy.
